We’re looking for a self-motivated individual to take on the role of Customer Service & Documentation Executive in our Ningbo office, who will be responsible for supporting customer service- and documentation-related activities.
Responsibilities:
- Ensure that support is provided to the sales team to enable bookings to be taken and processed, including:
- Receiving and processing bookings from customers from various channels.
- Passing bookings for special cargo/containers (DG/Out of gauge/Reefer etc.) to the appropriate department for authorisation before further processing .
- Resolving any queries in respect of e-bookings.
- Ensure bookings are accepted as per ESL/ESA policy.
- Oversee the processing of documentation between customers, customer service, and resolve any issues which arise.
- Ensure that responsibilities for documentation which remain with the agent are executed accurately and to the agreed timescales.
- Ensure performance in in accordance with Customer Service function KPIs which are agreed with Branch/Sales Manager, including booking acceptance guidelines.
- Ensure the delivery of pricing quotes in response to customer queries as well as production of manifests, bills of lading, and other documents required for the export of cargo are performed error free, and in accordance with required timescales, ESL/ESA standards and defined procedures.
- Resolve all queries received from customers on bookings/documents/shipments regarding import and export business, acting as liaison with other agency departments/overseas agents as necessary.
- Ensure that all security/customs requirements are fulfilled and that all cargo can be loaded/discharged in accordance with the manifest.
- Ensure all documentation activities adhere to legal and market requirements.
- Produce and issue reports with regard to miscellaneous issues that may arise with a particular booking (terminal storage, gate charges, rolling fees and custom charges, etc).
Requirements:
- Minimum 2 years relevant experience in shipping or related field.
- University qualifications preferred.
- English proficiency of level 6 and other language is an advantage.
